Getting Started

From Sample to Standing Order: A First-Time Buyer's Roadmap

Nobody should place a large first order with a supplier they've never worked with, and a good supplier won't expect you to. The relationships that turn into long-term partnerships almost always follow the same rough path.

1. Sample or trial order. Small enough to test quality, packaging, and how the product performs with your own customers, without significant risk.

2. First full order. Once you're satisfied with the sample, a properly sized first order lets you both test the logistics, documentation, timelines, communication, at real scale.

3. Feedback loop. Tell your supplier what worked and what didn't. Packaging preferences, delivery timing, documentation format, the suppliers worth keeping will adjust.

4. Standing order. Once the pattern is proven, moving to a recurring schedule (monthly or quarterly) usually improves pricing and guarantees you priority when supply is tight.

The whole process typically takes a few orders to settle into a rhythm, there's no need to rush it. A supplier pushing you straight to a large order before you've seen a sample is worth a second look.
